Mind Your Business (On Your Business Trip)

           In the age of technology, it may come as a surprise to learn that business trips have not gone the way of floppy discs and VCR’s. Business trips remain for staple of many companies, both large and small, in a number of industries. Some statistics, such as those published by the Global Business Travel Association (GBTA), have actually reported a significant increase in spending for work-related travel, a trend that they do not predict changing anytime soon. Despite the growth of email, social media, and video conferencing, professionals continue to take their work to the skies and the open road.
           Why do so many businesses continue to value the business trip? It is intuitive that the cost of sending an email or making a web call is far less than that of sending an employee halfway around the world. But many companies argue that a face-to-face meeting is infinitely more useful than its long distance counterparts. They have suggested that speaking with a person who is directly in front of you is more productive and more efficient than communicating solely online. You can form higher quality relationships in these meetings as well, potentially leading to lifelong partnerships.
           In truth, it’s no surprise that professionals prefer meeting personally to the alternatives. Psychology research has suggested that as much as 93% of communication is nonverbal—that is to say that only 7% of a word’s meaning is derived from its literal definition. A vast majority of communication depends on additional external cues such as tone, pitch and posture. As a result, communication that grants no or limited exposure to either party can easily be misinterpreted and mangled.
           I’m sure that anyone else prone to overthinking can understand the dangers of a lack of context. In the past, I have sent my sister texts in the morning only to get a one word response. Regardless of whether the response was positive, negative, or completely neutral, I inevitably perceive the response to be passive aggressive. I can spend the entire day upset about one such text, not knowing what I have done to cause anger, only to return home in the evening and learn that there was no malice intended whatsoever. While in person it is clear that my sister has no (current) quarrel with me, the lack of any external clues can send a totally different message.
           By taking the occasional business trip and decreasing the amount of impersonal communication between yourself and clients, colleagues, or suppliers, you improve the quality of the discussions that occur and form a stronger base for a healthy relationship. So if you are hesitant about travelling for work, just know that the benefits of doing so are immense.
 Taking the Trip
           For those impressed by the potential benefits of a business trip, it is worth noting that there are definite downsides to taking your work abroad. Travelling takes time, and takes you away from that with which you are familiar. If you are an employee within a larger business, this may not be a major issue; your usual work can be distributed for coworkers to complete, and access to an office space may be provided to you. But for a start-up, a sole trader, or a small business, such a trip can be a problematic endeavor.
           Depending on how well they prepare for their trip, even a professional from one of the latter groups can remain productive while away. The key is to understand what will be available to you once you reach your destination. For instance, while many hotels will provide you with a private desk or workspace in your room, it is far less standard to have access to printing, scanning, and other important features needed to run your business. These desks, while private, can also be extremely lacking in noise control or in light. Combined with the dual functionality of the room and the siren call of a nearby bed, a person can find it difficult to focus on the work before them.
           If you plan on completing supplementary work while you are away on business, it is best not to rely entirely on your lodging as an office. There are many more conducive settings to set up shop for the next few days. If you can find one, an internet café can often provide internet and printing features, though you still may not find yourself in the most professional environment. Libraries can offer quiet places to focus, but have limited hours of operation. Fortunately, there is another option available for work that is frequently overlooked.
           Co-working spaces, as mentioned in previous blogs, are on the rise globally. These spaces combine the best features of a library and café: they are professional settings, full of hardworking individuals with whom you can brainstorm and network, that offer internet, printing, and oftentimes coffee. Co-working offices also provide a variety of passes, with some lasting only a few days, ideal for travelers with no nearby office. If you are already a member of a co-working space, you might have access to an additional perk—a Co-Working VISA.
 What is a Co-Working VISA?
           Across the globe, over 350 co-working sites participate in the Co-Working VISA endeavor (see image). In brief, this program supports co-workers who want to manage their business while abroad. If you are a member of a co-working space that is enrolled in the Co-Working VISA program, you will by default be granted 3 days of free access to any other participating co-working spaces. This means that if travel is a vital aspect of your career, you can continue to work while away in an environment designed to accommodate entrepreneurs and businesses at no additional cost.

 Trust and Reciprocity
           Business trips are beneficial and absolutely feasible for a professional in any sized enterprise. I have already established that meeting with potential partners or clients in person promotes higher quality communication between both parties. There is less opportunity for miscommunication, and misconceptions can quickly be corrected. If a company or individual is considering working with or contracting you, this type of meeting also establishes trust. After all, typing an email takes minimal effort; taking an eight-hour flight to speak with prospects suggests commitment to providing high-quality work. This commitment can make the difference between having a friendly, profitable relationship and having no relationship whatsoever.
           By starting a business relationship on such a positive note, those you are meeting with will be more open to discussion and compromise in the future. If a supplier only knows you as a name on a paper, there is little motivation for them to consider providing your company with discounted materials or additional benefits. However, if they have met you and know you to be a loyal, kind, driven professional, they will want to help you succeed in your work. It is the same way that you are generally more willing to help a friend than a stranger; you are invested in your friendship and want that friend to achieve their goals, even if it is at little benefit for yourself.
 Costs
           The overall price of a business trip is far too variable for me to offer you an estimate. It is therefore vital that you research your trip ahead of time. Learn what resources will be provided to you, what fees qualify for exemption, and what costs will be coming out of your own pocket. Determine what is a reasonable budget for your journey and be careful not to exceed this cost, as you might be surprised at how small purchases can stack up. And prepare for how business at home will be impacted by your absence. If revenue will be diminished because of your journey, factor that into your budget.
           If you are concerned that a business trip is too great an expenditure, bear in mind that this travel is an investment. While you will need to spend at least some money to make the trip, understand how this journey will influence your work going forward. You may establish new contacts, and build strong bonds with future clients and suppliers. Further, you will gain insight into how these outside sources function. Walking throughout a coworkers building or visiting a supplier in person will let you see just what resources are available to them and what restrictions they could face in the future. You learn what you can practically expect of this partner or client moving forward.
With that said, don’t be careless with your spending. If you genuinely cannot afford to travel at this point, you still have every opportunity to succeed in your business. Just bear in mind that the potential exists for an enterprise of any size to remain productive while away, and that programs like the Co-Worker VISA can make the journey more affordable. Plan for tomorrow, and when the day comes that you have the potential to travel, give the prospect appropriate consideration before deciding that an email will suffice.
