Sign Up Guide 2024
Hey all. With signups less than a week away, I wanted to post an updated sign up guide. Things work a bit differently this year, but I hope this guide will walk you through it. As always, if you have any questions about sign-ups - or any part of the exchange process - please reach out to me.
There are two parts to a sign up: Requests and Offers. Requests are what pairings you would like to receive a gift FOR, while Offers are what pairings you are willing to CREATE for another person. I'll go over each of these individually.
REQUESTS
When you go to sign up, you'll see a screen that looks something like this:
Under the boxes labeled Request 1, Request 2, and Request 3, you'll fill out the minimum of 3 items you need to request. You can add up to 10 by scrolling down passed Request 3 and hitting this button:
Either way, in EACH Request box, you MUST fill out the first two portions, Fandom and Relationships.
For Fandom, CLICK ALL THREE BOXES. I have it set up that you have to, so it shouldn't be hard to miss, but this will make sure you see all the nominated pairings.
Once you click the Fandom boxes, click on Relationships and a drop down list of all the relationships nominated will populate.
Just like space magic.
The box below it, "Letter", is where you can link your exchange letter explaining what you are and aren't into. Remember when I talked about Letters?
You don't HAVE to put anything here, but letters are a LOT of help and remember: I CAN'T ENFORCE DNWs IF YOU DON'T TELL US ABOUT THEM.
Onto the Description box. You don't HAVE to put anything here, but some folks choose to link their letters here, or if they don't have a letter, go over their DNWs and likes here. This is also a good place to list pairings specific things you'd like to see. For example, if I requested Kaidan/Male Shep, I might say I'd really like to see a story or art about them adopting a dog. (for real though, if someone wants to write that for me I'd love it ;) )
And that's it for Requests! Below the requests boxes you'll see the Offer boxes, which I'll go over next.
OFFERS
Offers look similar to requests, but work a bit different. This is where you list which pairings you're willing to CREATE for. It looks like so:
Again, you have to offer a minimum of 3, but up to 10. As with requests, the Fandom and Relationship portions are required, but the rest is optional (but important).
The Fandom and Relationship part of Offers works the same way as requests. It's the description box that's different.
Now, OFFERS ARE ANON. No one but the mod team can see your offers. That said, the Description box of Offers is where you'll leave the following info:
Things you're willing to create;
Things you AREN'T willing to create; (this is important! If, for example, you don't want to create explicit content, WE NEED TO KNOW so we can match you properly) and;
Anyone you don't want to be paired with for the exchange. REMEMBER THIS PART IS ANON. No one else will see what you put here. Your reasons are your own and you don't have to explain why you don't want to be paired with a certain person.
When you're done filling out your offers, hit submit.
Whooooo! You're signed up.
You can edit your sign-up up until the day they close, after which it's locked. So if you think of another pairings, idea, ect, you can always go back and edit it. You can find your signups on the left side of your AO3 dashboard under "Sign-Ups".

Letters
Hey everyone! I hope you're all doing well. While we prepare for the exchange, I wanted to go over one of the optional but important parts of exchange sign-ups: letters.
What is a letter? It's basically a Dos and Don'ts list for your gifter. It tells them what you like, what you don't, and gives them ideas for what they might create for you.
You don't have to write a letter for your gifter, but it does help. Especially when it comes to DNWs (Do Not Wants). If you have DNWs, they have to list them, otherwise we can't enforce them. You can do this in the AO3 signup, but letters are also a good place for them.
Below is a link to my letter that I'm using for exchanges for this year. Feel free to use it's format or ideas. It's by no means a perfect example, but it may get you started!

Big Place 2024 NOMS
Hi everyone! We're a little over a month out from nominations (yey!) and since this is a new part of the exchange, I'd like to go over what that means.
So, what is a nomination?
A nomination is a pairing or relationship you'd like to see in the exchange. Since we're opening the exchange up to relationships other than shenko, this can be anything, as long as Kaidan is one of the people in the relationship.
How to nominate:
When nominations are open, I'll share a link. It will look something like this:
You'll fill in the blank spaces. Under "Relationships", just enter the relationship you want to nominate!
Under fandom, enter "Mass Effect - All Media Types".
So, a filled out nomination should look like this:
After you're done, just hit submit! That's it!
Some other things:
Types of relationships: For romantic pairings, separate names with a "/". So, Kaidan Alenko/Liara T'Soni would be a nomination for a romantic pairing. For platonic pairings, separate names with a "&". So, Kaidan Alenko & Garrus Vakarian would be a nomination for a platonic pairing.
You can nominate relationships between more than two people! Just use the name / or & markers are above. You can't mix and match, though, sorry. So, Kaidan Alenko/Female Shepard/Ashley Williams is fine, but you can't nominate Kaidan Alenko/Female Shepard & Ashley Williams.
I'm "front loading" the following relationships, so you don't have to nominate those: Kaidan Alenko/Female Shepard, Kaidan Alenko & Female Shepard, Kaidan Alenko/Male Shepard, Kaidan Alenko & Male Shepard, Kaidan Alenko/Non-Binary Shepard, Kaidan Alenko & Non-Binary Shepard.
There's a limit of 10 nominations per person, but since I'm already loading up the big ones, that should be enough.
If your nomination is rejected, it's probably already been nominated and approved by someone else! Don't worry!

BIG PLACE 2024 Schedule!
Hey everyone! I'm here with good news for the 2024 schedule for the Shenko Summer Big Place Exchange, a fan fic/art exchange focsuing on Kaidan Alenko from Mass Effect and his relationships. If you were here last year, you'll notice some things have changed.
The exchange will no longer be limited to just flavors of Shenko, but to any relationship where Kaidan Alenko is one of the members. This means we'll have a nomination period where you'll be able to nominate relationships you'd like to see available in the exchange. I'll delve deeper into nominations as the time draws nearer.

THANK YOU
Thanks so much to everyone that participated in Shenko Summer this year. It was my first time running an exchange so I appreciate your patience while I work out the bumps. A few items, and some of these will be repetitive, but this is also for my notes going into next year.
The server is now open year-round as a Kaidan lovin' place. There's a set of channels specially for the exchange.
Next year, we'll have a week long nomination period, much like Spec Recs and the Hatboy Exchange, opening up the exchange to all Kaidan relationships. This will continue to include any and all flavors of shenko, but also other romantic and platonic pairings.
According to the feedback I received from my google form, not a lot of people had a problem with the time period of the exchange. I was worried it was too close to Spec Recs and may have counted some people out. However, we will be pushing back a couple of weeks next year simply because of the nomination period. This is all subject to change, of course, as things could change over the next 12 months.

Updates and changes
Hey all, hope you're doing well. Creator reveals are the day after tomorrow, which will wrap up our first annual exchange! A few things:
If you haven't left a comment and/or kudos on your gift, PLEASE DO.
To that effect, if the person you created for has not acknowledged their gift, please let me know.
Going forward, not acknowledging your gift will result in being banned from future participation in the server. It's incredibly rude to ghost someone who went out of their way to create something for you.
I've gotten a good number of responses to the feedback form and it seems like everyone is on board with a couple major changes. First... next year the exchange will have a nomination period to allow any relationship as long as one of those people is Mr. Alenko. This also includes poly ships and platonic relationships! Second... the discord server is now open as a year 'round place to chat and appreciate our main man. I'm putting a link below.
Finally, because of this, the server and exchange have a new name, which you may notice in a few place. Going forward we'll be known as Big Place. Thanks to @screwyouflightlieutenant for the name idea.

Feedback Form
Now that the exchange is winding down, I'd appreciate your feedback and thoughts about your experience. If you could take a few minutes to fill out this google form, it would help a lot. There are two questions on there about the future of the server/exchange. Mainly, opening up the exchange to all Kaidan relationships (not just shenko) and having the server open as a more 'everyday' place and not just exchange related. Thanks for your time.
